EXPRESS PROMOTIONAL PRODUCTS: WE NEED PROMOTIONAL PRODUCTS FAST. WHAT CAN ACTUALLY BE DONE IN TIME?
Updated: 4 hours ago
The event is booked. The invitations have gone out. The venue is confirmed.
And then someone asks the question nobody wanted to hear:
“What are we giving everyone?”
There are only a few days left, nothing has been ordered, and suddenly you are searching for express promotional products, hoping there is still enough time to get something branded, produced and delivered before the doors open.
If this were our brief, our first response wouldn't be to send you hundreds of products and ask you to choose quickly.
When time is short, more choice isn't necessarily helpful.
We'd narrow it down.
So, if this were our brief, here's where we'd start.

THE BRIEF
Deadline:
Very soon
Product:
Still undecided
Branding:
Required if realistically achievable
Purpose:
Event, conference, campaign or last-minute business requirement
Priority:
Get something worthwhile delivered on time without choosing a poor product simply because it is available quickly
The first thing we'd want to know is not what product you had in mind.
It's when and where you need it.
There is an important difference between needing promotional products produced by Friday and needing them physically in your hands by Friday. Production time is only one part of the timeline. Artwork approval, stock availability and freight still have to happen around it.
That's why a last-minute promotional product brief needs to start with the deadline.
Then we work backwards.
OPTION 1: A NOTEBOOK AND PEN WHEN YOU NEED SOMETHING UNIVERSALLY USEFUL
When we're sourcing fast turnaround promotional products for a business event, notebooks are an easy category to consider because they don't require us to make too many assumptions about the recipient.
One current option is our Lyndel cork notebooks with pen (A5).
With prices currently starting from $6.50, they're part of our Rush Service range and give you a complete notebook and pen rather than a standalone piece of stationery.
The cork finish also gives the product a more distinctive appearance than a basic promotional notepad.
For a conference, seminar, training session, workshop or internal business event, this is the kind of product that can start working immediately. Put one in each place, and attendees can use it during the event rather than carrying it home unopened.
There are other express notebook options too, including Brando recycled paper notebooks with pen (A5) from $3.82, recyclable paper jotter pads with pen from $2.35 and textured PU leatherette notebooks with pen (A5) from $5.68.
That range matters and still gives us a great variety when the deadline is tight because we can still adjust the recommendation according to your budget and the impression you're trying to create.
A rush job doesn't mean every business needs the same rush product.

OPTION 2: A BAG THAT CAN BECOME PART OF THE EVENT
If attendees will receive documents, samples, brochures or other items throughout the day, we'd also look at express promotional bags.
Our Gaillard canvas tote bags (450gsm) are currently part of our Rush Service range, with pricing starting from $7.52. A heavier canvas tote can work particularly well when you want the promotional product itself to feel more substantial and continue being useful after the event.
For something lighter and more budget-conscious, there are express alternatives such as Tarrant non-woven bags (90gsm) from $2.51 or foldable nylon tote bags with elastic from $3.83.
The choice would depend on what you're putting inside them, how they're being distributed and what you want the product to communicate about your brand.
If the bag is primarily there to hold event material, we might keep things simple.
If the bag itself is the giveaway, we'd be more selective.
That's an important distinction when time is running out. We wouldn't spend your remaining days trying to turn a functional carrier bag into a premium corporate gift if that's not what the brief actually requires.

OPTION 3: DRINKWARE CAN STILL BE POSSIBLE
This is where people are often surprised.
A short deadline doesn't automatically rule out branded drinkware.
Our current Rush Service range includes numerous bottles, cups and mugs.
For example, the Misha aluminium drink bottles (600ml) currently start from $6.50 and are available through the Rush Service range.
If we wanted something with a slightly different character, we'd also look at the Aris aluminium carabiner bottles (500ml) from $5.39 or the Armande transparent Tritan bottles (700ml) from $7.01.
For a reusable product that people can carry around an event and continue using afterwards, drinkware can provide considerably more longevity than many traditional event giveaways.
And if the brief calls for something smaller, the Chandler double-wall stainless steel carabiner mugs (250ml) are another interesting option.
They're currently priced from $7.38 and have a minimum order quantity of 50pcs. A one-colour print in one position is included in the displayed pricing, with laser engraving and full colour branding also available at additional cost.
Most importantly for this particular brief, a three-day or 24-hour rush production service is available for all these items at an additional charge.
So a deadline that initially sounds impossible may not actually be impossible.

HOW FAST CAN THE EXPRESS PROMOTIONAL PRODUCTS ACTUALLY BE PRODUCED?
Some products in our Express range can be produced within three working days or even 24 hours, excluding shipping. Rush charges apply, and availability still needs to be confirmed for your particular quantity, product, branding and deadline.
That can make an enormous difference when you've suddenly realised an event is much closer than you thought.
But there's another important point.
Express doesn't have to mean cheap, generic or forgettable.
Our current rush range includes drinkware, notebooks, bags, stationery, event giveaways and other products, so even with a tight turnaround there can still be room to choose something that makes sense for your audience.
KEEP THE PRODUCT SIMPLE AND LET THE BRANDING DO THE WORK
When every day counts, complexity can become the enemy.
This isn't necessarily the moment we'd recommend a highly customised product with complicated packaging, multiple branding positions and an elaborate combination of print methods.
Sometimes the smartest solution is a relatively straightforward product with clean branding.
A notebook.
A tote.
A bottle.
A mug.
A pen.
Products like these aren't revolutionary, but that's not always what the brief requires. If they're useful, relevant and branded well, they can still do exactly what promotional merchandise is supposed to do.
And when the deadline is tight, a simple product executed properly is preferable to an ambitious idea that arrives three days after your event.
WHAT IF THE PRODUCT YOU WANT ISN'T IN THE EXPRESS RANGE?
This is where we'd ask you to contact us rather than immediately giving up on it.
Our Express collection gives us a starting point, but it isn't necessarily the absolute limit of what can be achieved.
If you've found another product on our website that you really want, tell us.
We can check with the factory to see whether your deadline can be accommodated.
Production schedules change. Stock positions vary. Quantities matter. Branding methods matter.
A product with a normal advertised turnaround may occasionally still be possible within your timeframe, but we'd rather check the actual job than make assumptions.
And if branded production genuinely can't happen in time, there is another option worth considering: supplying the product without branding, where appropriate. It isn't our first choice for a promotional campaign, but if the product itself is essential to your event, it can sometimes be a better solution than receiving beautifully branded merchandise after everyone has gone home.
WHAT WE WOULDN'T DO
We wouldn't promise a deadline before checking it.
That's probably the most important part of this entire brief.
“24 hour production” does not mean “delivered anywhere in Australia tomorrow”.
Rush production still happens after the relevant requirements are confirmed, and freight needs to be considered separately.
We also wouldn't tell you to choose an express product simply because it carries a Rush Service label.
It still needs to make sense.
If you're holding an executive strategy session for 30 senior clients, our recommendation could look very different from an outdoor event with 1,000 attendees.
The deadline narrows the options.
It shouldn't completely replace the thinking behind them.
IF YOU'RE IN A HURRY, YOUR ARTWORK MATTERS TOO
One of the easiest ways to lose valuable time on a rush order is artwork.
If your logo isn't supplied in the required production format, if colours haven't been decided, or if several people need to approve the artwork proof, a fast production schedule can quickly become much less useful.
That's why we'd encourage you to have your branding ready and keep the approval process as straightforward as possible.
We provide an artwork proof before production so you can see how the branding will appear, and nothing proceeds until you've approved it.
For a last-minute project, that means the faster you can review and approve the proof, the faster we can keep things moving.
SO, WHAT WOULD WE CHOOSE?
If you called us with a genuinely tight deadline and gave us no other information, we'd probably begin with three questions:
How many do you need?
Where do they need to be delivered?
What is the absolute date you need them in your hands?
Only then would we start narrowing down the product.
For a corporate conference or workshop, an express notebook and pen could be our starting point.
For an event where people will collect materials throughout the day, we'd investigate an express tote or shopping bag.
For something attendees are more likely to continue using afterwards, we'd look closely at drink bottles or reusable drinkware.
And if you already have your heart set on something completely different, we'd check that too.
Because the best answer to a last-minute promotional product brief isn't always: “No, you've left it too late.”
Sometimes it's: “Yes, but these are the options that actually make sense.”
THE REAL ADVANTAGE OF PLANNING EARLIER
Of course, if you have more time, use it.
A longer lead time gives you access to more products, more branding techniques, greater opportunity to compare options and more breathing room around artwork, production and freight.
Rush production is incredibly useful when you need it.
It just shouldn't become the default way to order promotional products.
If you know an event is coming, getting the merchandise conversation started early gives us much more freedom to find something that fits the audience, budget and purpose rather than allowing the calendar to make those decisions for us.

IF THIS WERE YOUR BRIEF
If you've just looked at the calendar and realised your promotional products should probably have been ordered already, send us the details.
Tell us what the event is, how many products you need, your budget, delivery location and the date they absolutely need to arrive.
If you already know which product you want, include that too. If you don't, that's completely fine.
We'll help narrow down the options, check stock and lead times and tell you what is realistically achievable.
You can also upload your artwork with your quote request so we can provide a free branded mock-up with your quote.
Because when the deadline is close, you don't need another 500 products to scroll through.
You need to know which ones can actually get there.
